SOLEIL care
Up to 3 users from French institutions (without any regions distinction), in the framework of an accepted experiment by peer review committees, are subsidized for subsistence (guest house and meals at SOLEIL restaurant).
Financial support for transport applies only for users whose institutes are located outside Ile-de-France region.
Users who are given priority for guest house are:
- Users from outside Ile-de-France Region
- At least one subsidized user from Ile-de-France Region institute
In case of guest house overbooking, subsidized users declared to have priority by the Main proposer, according to the above mentioned rule will be accommodated, by the travel office, in a hotel close to SOLEIL.
Visits to SOLEIL are reimbursed from one day before the dates allocated for the experiment, in order to allow experiment preparation and/or sample disposal.
SOLEIL does not reimburse users from industrial laboratories or from foreign institutions.

The CALIPSOplus Consortium brings together 19 partners offering access to 14 synchrotrons and 8 FELs in Europa and the Middle East. The key aims of the project are as follows:
- Improvement of trans-national cooperation and distribution of knowledge, in particular from countries with a highly developed scientific infrastructure to scientifically less active regions
- Removing barriers for access to world-class accelerator-based lightsources in Europe and in the Middle East
- Teaching new users how to successfully use synchrotrons and FELs.
- Collaborating on constantly developing technology to keep the facilities at the cutting-edge
- Tailor-made support and access programmes for SMEs
In the framework of the EU CALIPSOplus TransNational Access programme, SOLEIL provides limited financial support for users who participate to an experiment related to an accepted proposal by the SOLEIL Peer Review Committees.

ELIGIBILITY CRITERIA
You must satisfy the following two conditions:
- The Main proposer AND the majority of the participants must work in an institution established in a Member State of the European Union* or Associated State**.
- The Main proposer AND the majority of the participants must work in a country other than the country where the legal entity operating the infrastructure is established (France for SOLEIL).
* Researchers from institutes in the following countries may be supported: Austria, Belgium, Bulgaria, Croatia, Cyprus, Czech Republic, Denmark, Estonia, Finland, Germany, Greece, Hungary, Ireland, Italy, Latvia, Lithuania, Luxemburg, Malta, The Netherlands, Poland, Portugal, Romania, Slovakia, Slovenia, Spain, Sweden, United Kingdom.
** EU associated countries (H2020): Albania, Bosnia and Herzegovina,Faroe Islands, FYR of Macedonia , Georgia, Iceland, Israel, Moldova, Montenegro, Norway, Serbia, Tunisia, Turkey, Switzerland, Ukraine
Not eligible to be refunded: Research Teams conducting their research in France and Research Teams from SOLEIL.
REIMBURSEMENT RULES
Two participants per project can be subsidized for subsistence expenses (nights at SOLEIL guest house and meals at SOLEIL canteen) and only if all eligibility criteria described above are met.
When a proposal is accepted and then scheduled by the beamline manager, the main proposer has to request accesses and to comply with three steps, no later than 3 weeks before the arrival, in SUN set (Proposal Management / Before experiment / Participants declarations):
- Selection of the samples to be brought for the beamtime session in the Samples TAB.
- Declaration of all participants in the Participants TAB : the Main Proposer identifies users who will receive a contribution from CALIPSOplus funding for their expenses, and mentions dates of arrival and departure
- Request of the appropriate support laboratory in Lab. Requests TAB.
Users supported by SOLEIL have priority to be accommodated in the Guest house (according to availabilities). In case of unavailability of the guest house, they will be accommodated in hotels booked by SOLEIL Travel Office.
REIMBURSEMENT PROCEDURE
SOLEIL covers expenses for nights at the guest house and meals at SOLEIL Canteen.
However, if it is justified according the delay of the journey, some additional meals can be reimbursed upon relevant documents.
If an original ticket is missing the user will not be reimbursed for the fees engaged.
An extension of the stay for personal reasons will not be supported by SOLEIL.
AFTER the experiment, the refund requests must be submitted to the SOLEIL travel Office by the user. The requests must be presented using the expenses Reimbursement ‘Form’ (available on SUN set). Please note that the reimbursement claims must be sent within 2 months after the experiment.
PLEASE, REMEMBER TO KEEP THE ORIGINALS OF ALL YOUR RECEIPTS AND INVOICES to attach to the form duly completed together with your Bank Coordinates.
Please mention at the verso of each document the project N°.

REPORTING REQUIREMENTS
As recipient of financial support by the EU Commission via SOLEIL you must meet the EU reporting requirements:
- Please submit your End of Run Report (user feedback) via SUN set: Proposal Management / After experiment / End of run reports
- Please submit your Experimental Report three months after your experiment at the latest via SUN set: Proposal Management / After experiment / Exp report
- The project leader is requested to fill in the H2020 Research Infrastructures: User group questionnaire. The Number and Acronym of the EC Grant Agreement to indicate in field (1) is 730872 CALIPSOplus. The User Project Acronym to indicate in field (2) is SOLEIL-proposal ID.
PUBLICATIONS
- Publication of research results in open access journals is strongly encouraged. In case of joint publications involving facility staff, open access publication is a requirement from the EU. CALIPSOplus offers financial support for gold open access publications. Upon a simple request to the project management, the full publication costs may be covered. More information are available at the CALIPSOplus project website.
- Acknowledge SOLEIL and the European Community in all publications (articles, posters, talks etc.) involving activities at SOLEIL if a reimbursement has been granted. Please include the following statements:
"Parts of this research were carried out at "beamline" at SOLEIL. We would like to thank N.N. for assistance during the experiment (if not co-author of the publication)"

iNEXT (Infrastructure for NMR, EM and X-Rays for Translational research, www.inext-eu.org) is a project funded from the Horizon 2020 Programme of the European Union, (H2020 project #653706) and is the first research infrastructure project that combines access to different structural biology technologies (SAXS, X-ray crystallography, NMR, EM, biophysical characterization).
The iNEXT consortium involves 23 partners from 14 different European countries. Training and networking activities are carried out to attract new users and to disseminate scientific results across academia and industry. The consortium aims to provide user access to a range of advanced and integrated structural biology technologies.
European researchers can apply for transnational access to perform their Structural Biology research at one of the consortium facilities involved (see www.inext-eu.org for details of facilities available).
The iNext contract ends on 31/08/2019.
iNEXT offers access through three different modalities : http://www.inext-eu.org/about-inext/
1. Structural Audit: mail-in services for basic sample analysis; does not include a visit and the analysis is done by local experts.
2. Enhanced Support : the modalities here include structure solution by X-ray crystallography, SAXS or NMR, EM sample optimization, ligand and fragment screening, and the study of macromolecular interactions in vitro or ex vivo (in cells). This type of access is guided by experts in the host institutes and involves training and active participation of visiting users.
3. High-End Data Collection (experts): expert users can use some of the best synchrotron beamlines, high frequency NMR magnets and state-of-the-art cryo-EM instruments.
The submission of iNEXT proposals requires all people involved to be registered with Instruct.
Calls for applications for iNEXT proposals are now open.
Proposals can be submitted (https://www.structuralbiology.eu/update/submit-proposal) at any time and are reviewed by a panel of experts that are not directly associated with the research infrastructures. Proposals are assessed for their scientific merit, but also their value for translational research, their technical feasibility and the quality of the team.
Beamlines concerned at SOLEIL are PROXIMA1, PROXIMA-2A and SWING.
When your project is accepted by iNEXT, you will receive an email to invite you to complete (via the SOLEIL proposal mechanism, SUN set) your proposal with information required to plan and organize the beamtime.

1 participant or 1 dewar shipping per project can be subsidized (subsistence and travel) and only if all eligibility criteria described above are met.
When applying for access to SOLEIL and support laboratories, the Main proposer (or the Principal Investigator) should identify the participant that will benefit from iNEXT funding.
SOLEIL Travel Office will contact this person in order to organize travel and accommodation.
Please, take note that reimbursements will be processed ONLY AFTER receipt of the Experimental Report.
In all publications related to the experiment, iNEXT support must be acknowledged by the following statement: 'The research leading to these results has received funding under iNEXT the Horizon 2020 programme of the European Union iNEXT (H2020 project #653706).
Visits to SOLEIL will be reimbursed from one day before up to one day after the experiment.
User Group questionnaire on transnational access:
This questionnaire should be completed by each Group Leader of a TA user- project supported under an EC Research Infrastructure grant agreement. This exercise will enable the Commission to evaluate the Research Infrastructures Action, to monitor the individual contracts, and to improve the services provided to the scientific community. the iNEXT agreement isH2020 project #653706).

Procedure for Travel & Accommodation Expense Refunds by European Community in the framework of H2020 IPERION CH - TNA FIXLAB.
The consortium “Integrated Platform for the European Research Infrastructure ON Culture Heritage” IPERION CH is supported by the Horizon 2020 programme of the European Commission.
In this framework, Trans-National Access within FIXLAB is offered for proposals submitted to the SUN set. The IPERION CH contract ends on 31/10/2019. After this date no financial support will be possible.
2 Scientists performing experiments on ancient materials materials (cultural heritage, …) at SOLEIL can receive financial support under the IPERION CH-TransNational Access programme.
ELIGIBILITY CRITERIA
You have to satisfy the following three conditions:
- The Main proposer AND the majority of the participants must work in an institution established in a Member State of the European Union or Associated State ;
- The Main proposer AND the majority of the participants must work in a country other than the country where the legal entity operating the infrastructure is established (France for SOLEIL);
- Only user groups that are entitled to disseminate the foreground they have generated under the project are eligible to benefit from access free of charge to the infrastructure.
Not eligible to be refunded: Research Teams conducting their research in France and Research Teams from SOLEIL.
All expenses (air and train fares or equivalent for use of personal car, airport shuttle, accommodation, meals, local car rental or local transportation) will be refunded after the trip by bank transfer, upon presentation of the corresponding original receipts, if not taken in charge directly by SOLEIL.
PLEASE, REMEMBER TO KEEP THE ORIGINALS OF ALL YOUR RECEIPTS AND INVOICES.
Each Main proposer is requested by the EC to ensure that the Users Questionnaire is completed and returned to the EC within two weeks since the end of the experiment.
Each Main Proposer is also asked to ensure that the Experimental Report is completed and transmitted via the SUN set to SOLEIL Users Office as soon as possible.
Please, take note that reimbursements will be processed ONLY AFTER receipt of the Experimental Report.
In the publications related to the experiment users must acknowledge support by the European Community - Research Infrastructure Action under the H2020: "The research leading to these results has received a financial support by the Access to Research Infrastructures activity in the H2020 Framework Programme of the EU (IPERION CH Grant Agreement n. 654028).
Reimbursement rules
SUBSISTENCE
At least 3 weeks before the experiment, the Main Proposer indicates users who will receive a contribution of their expenses in the "Apply for access" function in the SUN set.
Users receiving a contribution of their expenses, will be contacted by SOLEIL travel Office to organise their travel and accommodation at SOLEIL Guest House.
Users who are not receiving a support from SOLEIL are invited to organize themselves travel and accommodation bookings.
Users supported by SOLEIL have priority to be accommodated in the Guest house (according to availabilities). In case of unavailability of the guest house, they will be accommodated in hotels booked by SOLEIL Travel Office.
Users who are not receiving a support from SOLEIL will have to pay themselves their meals by credit card at the charging point, or by check or cash at the canteen cash desk.
TRAVEL
The reimbursement of user travel expenses is made for one round trip. The user has to chosse the most economic mean of transportation.
Any journey or schedule modification likely to induce an increase of the ticket cost, ordered initially by SOLEIL travel office, will be supported by the user.
TRAIN
The reimbursement is done on the basis of the second class train, economic 'restritive' fare (Loisirs, Standard, Semi-Flex, Prems, ...) booked as earlier as possible. The airfare ticket could be reimbursed only if it is more economical than the train.
PLANE
The maximum refundable airfare is the roundtrip on the basis of the economic 'restritive' fare, booked 15 days min. before the departure. The airfare ticket could be reimbursed only if it is more economical than the train.
TAXI
The taxi is reimbursed only if the schedule does not allow to take the public means of transportation (TRAM, RER, métro, bus, ...).
PRIVATE CAR
Exceptionnaly the private car could be reimbursed only for car-pooling and/or samples transportation and/or ancillary equipement transportation.
In case of car-pooling, the reimbursement is possible only if it concerns at least two subsidized participants or if all subsidized particpants from the same laboratory are travelling together.
To use the private car, a request should be previously addressed to SOLEIL User office by email (useroffice@synchrotron-soleil.fr).
Otherwise, the user will be reimbursed on the basis of the most economic mean of transportation (economic 'restritive' round trip ticket).
CAR RENTAL
A car rental cannot be reimbursed excepted in very rare case: heavy and bucky equiment transportation.
A request, as well as a quotation, should be previously addressed to SOLEIL User office by email (useroffice@synchrotron-soleil.fr).
Otherwise, the user will be reimbursed on the basis of the most economic mean of transportation (economic 'restritive' round trip ticket).
* Important:
If the mean of transportation does not apply to SOLEIL reimbursment rules, the travel office will reimburse a lump sum.
When possible all expenses covered by SOLEIL are directly engaged by SOLEIL travel Office.
But expenses directly paid by the users, can be reimbursed upon presentation of original tickets.
